# Workflow Identification Worksheet (Cognitive Delegation, 6 Steps)

**Version v1.0 (2026-07-27). For finding your NEXT AI workflow. No technical knowledge needed: if you can describe your work out loud, you can do this. 20 minutes, one workflow at a time.**

## Before you start: the three zones

- **Zone 1: AI runs it.** Repetitive, rule-based, checkable afterward (filing, capture, sorting, enrichment).
- **Zone 2: AI drafts it, you check it.** Anything a client will see (emails, summaries, texts).
- **Zone 3: Human only.** The relationship, the judgment, the counseling session, deletion decisions.

The whole game is moving work OUT of your day into Zones 1 and 2 while Zone 3 stays untouchably yours.

## Step 1: Name the task

Not "marketing." One repeating task, named the way you say it out loud.

> *"Every Monday I ______________________________________"*
>
> How often? ______ How long does it take? ______ How much do you dread it? (1-5) ______

**Pro tip:** the best first candidates score high on all three. Your inbox, your follow-ups, and your reports usually win.

## Step 2: Break it into 5 to 10 steps

Say it like you are training a new teammate. Write what ACTUALLY happens, including the messy parts.

> 1. ____________________
> 2. ____________________
> 3. ____________________
> 4. ____________________
> 5. ____________________
> 6. ____________________
> 7. ____________________

**Easiest way to do this:** record a Loom of yourself doing it once, narrating. The transcript IS this list.

## Step 3: Tag each step 1 / 2 / 3

Next to every step above, write a zone number. Ask of each step:
- Could a careful intern with perfect memory do this? Probably **Zone 1**.
- Does a client see the result? Then at most **Zone 2**.
- Does it need YOUR judgment or YOUR relationship? **Zone 3**, keep it.

## Step 4: Design the handoffs

Where does work pass between you and the AI? At each handoff, name what gets passed and in what form.

> AI hands me: ______________________ I hand AI: ______________________

**Rule of thumb:** the AI always hands you a DRAFT or a LIST, never a done deed.

## Step 5: Set the fail-safe

> If the AI gets it wrong, the worst that happens is: ______________________
>
> We catch it by: ______________________ Who gets told: ______________________

If the worst case involves a client seeing something wrong, your checkpoint is not optional. If the worst case involves deleted data: it cannot happen, because nothing is deleted, only archived (Global Instructions rule 2).

## Step 6: Measure the gain

> Before: this took ______ hrs/week. After: ______ hrs/week. The freed time goes to: ______________________
>
> The lead indicator this moves: ______________________

## What to do with a finished worksheet

1. Check the Skills Library first: 11 skills already exist. If yours matches one, adopt it. Do not build a duplicate.
2. If it is new: this worksheet + the skill template (any library file shows the shape) = your new skill draft. Build it with Claude.
3. After it works once for real: wrap the SOP around it (MBAC SOP Builder) and publish to Monday.
