Working with your own documents

What you'll be able to do

  • Use NotebookLM, Claude Projects, and Gemini Gems to ground AI in your own documents
  • Explain RAG (retrieval-augmented generation) in plain language
  • Know why grounding cuts hallucination and recognize the cases where it still does not

Stop re-pasting: give it a library

If you find yourself pasting the same document into every chat, stop. Load it once into a grounded workspace so the AI works from it directly. That is grounding: the model answers out of your library instead of out of its general memory.

RAG in plain English

Retrieval-augmented generation sounds technical, but the idea is simple. First, find the relevant bit from these documents. Then, answer using it. Retrieval first, generation second. That ordering is the whole reason a grounded answer is more trustworthy than a guess.

NotebookLM: the grounded notebook

NotebookLM is built around this. Every answer points back to the source it came from, so you can click through and check. When staying inside the four corners of your documents matters, this is the default.

Claude Projects: persistent context plus voice

A Claude Project lets you preload your Context Document and reference files so every chat in that project starts with them already in view. You get grounding and your voice in one place, without re-pasting at the top of each conversation.

Gemini Gems: reusable mini-assistants

A Gem saves a role plus background context you can reopen on demand. Think of it as a small, purpose-built assistant you set up once and reuse, rather than re-explaining the same setup every time.

Grounding is not a force field

Grounding lowers invented facts; it does not eliminate every error. The model can still misread a table, stretch a sentence past what it says, or grab the wrong passage. Citations make it fast to catch that, but the catching is still your job.

What to load, and what never to

Load specs, plans, SOPs, policies, and your Context Document. Never load raw personal data, signed contracts tied to named parties, or anything you would not want resurfaced. Redact first. Grounding does not undo a privacy mistake you made on the way in.
